Houston! We’re looking for an Executive Assistant/Office Manager

Are you a dedicated cinephile? Do you want to learn the ins and outs of the movie theater industry? Have a dedication to organization and a desire to be a part of the Alamo Drafthouse Cinema family? We’re looking for an Executive Assistant/Office Manager for our home office in Houston’s Heights neighborhood.
Responsibilities and essential job functions include but are not limited to the following:


  • Administrative support to CEO, CFO, Human Resources Director and others demonstrating expertise and initiative by proactively anticipating their needs and then following through to meet or exceed those needs
  • Coordinates schedules and executive calendars for meetings, and maintains a current list of contacts
  • Coordinates all travel needs timely and accurately
  • Plans and coordinates the communication of special events and company monthly calendar
  • Receives phone calls, responds to inquiries, takes messages and handles as directed
  • Displays considerable discretion and initiative when representing the leaders and their work
  • Executive major project support is accurate, timely and organized according to organizational needs and priorities
  • Assists in presentation materials and correspondence for periodic and quarterly meetings, updates and conferences including among others board members and investors
  • Prepares agenda, arranges audio/visual support, archives minutes and creates follow up reports for meetings and conference call
  • Assigned projects are managed
  • Maintains highly confidential information
  • Manages and completes multiple assignments in short time frames and coordinates diverse projects and activities into a cohesive program
  • Maintains necessary files relating to accounts payable, accounts receivable, personnel, corporate organizational documents and other data
  • Takes leadership initiatives in ensuring that the office environment is properly stocked with supplies, furnishings, etc.
  • Maintains a comfortable office environment


  • Planning -- Executes specific planning tasks in direct support of immediate work. Planning time reference should be immediate to 12 months. 100% tactical work
  • Organizing -- Executes specific organizing tasks in direct support of immediate work
  • Staffing -- May provide support in welcoming new staff to the home office
  • Directing -- Directs own work to achieve results in support of immediate work group
  • Controlling -- Monitors own work. Provides input and accountability to quality improvement as it applies to direct work responsibilities



  • A Bachelor's Degree and /or equivalent experience in a similar role
  • Proficient with a variety of computer software applications (Outlook, Excel, PowerPoint, Word)
  • Project management experience required


  • Superior customer service and telephone skills
  • Superior organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Excellent Microsoft Word, PowerPoint, Email
  • Familiarity with Mac and PC platforms
  • Ability to prioritize, manage multiple and changing timelines, and multi-task with limited supervision while meeting established timelines
  • High level of interpersonal skills
  • Ability to maintain high level of confidentiality
  • Delivers results for which he/she is accountable
  • Dependability, flexibility and professional demeanor
  • Role models the company values; "walks the talk"
  • Maintains high standards of personal ethics; is consistently honest and truthful in all situations
  • Communicates ideas with enthusiasm
  • Ability to read, write, communicate and interpret information accurately
  • Must be able to work a variety of scheduled hours, based on the needs of the business (i.e. late hours, holidays, weekends); regular and predictable attendance
  • Must have reliable transportation and a clear license, work will require driving on behalf of the company


  • Ability to sit for moderate periods of time working on a computer
  • Ability to sit or stand for long periods of time and work in an office environment
  • Ability to lift at least 30 pounds
